Our home, Bozeman, Montana, is an outdoor adventurer’s paradise and is what motivates us to lace up daily to explore the 18 million acres of Greater Yellowstone Ecosystem that surround us. Bozeman also inspired our name: Outside + Bozeman = Obōz. The four points of our compass—People, Community, Foot and Experience—guide everything we do in staying “True to the Trail.” We also plant a tree for every pair of footwear sold, and have since our beginning.

Obōz Footwear is looking for a Office Manager/Executive Assistant to join the team!

 

Position Overview

The Office Manager/Executive Assistant is in charge of keeping the Oboz office maintained and running smoothly, providing administrative support to the wider team and acting as an executive assistant to the President of the company. This role will be an integral part of the company by creating and maintaining a space for organizational effectiveness, efficiency, and safety, as well as, providing assistance to executive team members. They are responsible for creating and upholding administrative processes and procedures, inventory control and general supplies for the office.

The primary functions of this role include but are not limited to:

Office Operations/Administrative Support

  • Provide exceptional ‘customer’ experience and support to internal and external people, building a positive and professional image of the company. Welcoming and greeting guests to our office.
  • Assisting with the execution of office initiatives, this includes the implementation of planned projects and organizing office functions, participating actively in the planning and execution of company events.
  • Responsible for developing and implementing office procedures and standards to increase effectiveness.
  • Point of contact and 3rd party coordination: cleaners, recycling, building owner, etc. Manage supplier contracts and invoices.
  • Track office access – manage key holders.
  • Manage shipping supplies and shipping area.
  • Manage office credit card and expense reporting.
  • Manage and track office supply, office equipment and postage budgets.
  • Communication with UPS and FedEx as needed for all shipments coming into the office and shipments leaving the office.
  • Assist with creating shipment labels and getting packages sent out.
  • Ensure prompt distribution of incoming mail, packages and associated documents to internal departments and external customers. Check mail and distribute daily.
  • Set up, prepare, and assist workspaces for new hires or when there is workspace movement.
    Lead office planning in regards to people, storage, conference rooms and common areas.
  • Assist departments and help manage inflow, outflow, and organization of storage units.
  • Manage main office (212), KMD showroom/gym/department storage (201) and the Guest House.
  • Assist with other administrative tasks and cross department, or executive, special projects as needed.

 

Office Maintenance

  • Manage the maintenance and organization of the office common areas and meeting rooms.
  • Responsible for the maintenance and improvement of both the office interior and facility exterior (including office plants). 
  • Maintain and stock office supplies: paper, printer ink, toilet paper, paper towels, coffee, new hire swag, etc. between all three office locations (212, 201 and Guest House).
  • Place weekly office purchases.
  • Manage and maintain office equipment inventory, such as monitors, keyboards, mice, cords, chairs, rolling carts etc.

 

Executive Assistant

  • Act as the point of contact between the executives and internal or external colleagues.
  • Organize meetings and book meeting rooms. Assist president in managing calendar.
  • Assist with organizing travel and stay accommodations for executive team.
  • Send out communications to wider team in regards to the office or on behalf of the President.
  • Attend meetings and take minutes to track and share with the necessary parties.
  • Assist President and other executives with creating presentations.

 

Office Culture

  • In conjunction with HR, create, maintain, and embody an office culture that is true to our compass and our values: trustworthy, ready for fun, upbeat and undeniably optimistic, and empowered to change the world for the better.
  • Assist with planning, prepping, and executing office events.
  • Assist and coordinate office safety practices.
  • Forge and nurture relationships with Oboz team and external suppliers.

 

BCORP/ESG:

  • Prioritize, execute and lead ESG initiatives as they pertain to the office, office waste, office energy use and employee footprint. Inspire wider team to care about office footprint.
  • Collect and provide office waste, energy use, and commuter reporting to necessary parties.


About you…

  •  2-3 years administrative experience required.
  • 1-2 years executive assistant experience preferred.
  • Strong initiative to ensure all goals and objectives are being met.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Excellent administrative, organizational and time management skills.
  • Able to effectively perform in a fast-growth environment.
  • Strong attention to detail and accuracy, problem solving and follow through.
  • Able to effectively deal with multiple priorities/activities without compromising accuracy or responsiveness.
  • Comfortable prioritizing own workday and creating self-imposed deadlines, and timeline and meeting them.
